Position overview

As the Program Coordinator, you are the main point-of-contact for our program participants and facilitators. You own the deployments of Lead Belay’s leadership development programs, which include collecting and organizing the schedule availability of program participants and facilitators, and then coordinating those schedules into supportive learning groups.

You match program participants and facilitators across time zones, preparing and quality-checking program materials, and delegating tasks to our virtual assistant. You also help communicate with our organizational partners, and lend your eye for details and your creativity to the Marketing and Digital Product teams as needed.

What you’ll do

  • Coordinate deployment logistics for all of Lead Belay’s programs, including scheduling facilitators and participants
  • Serve as the primary point of contact for participants, providing timely communication and support throughout the program lifecycle
  • Support the continuous improvement of program deployment processes and procedures
  • Maintain accurate and up-to-date program data, including participant information, attendance records, and evaluation feedback
  • Assist in collecting, organizing, and analyzing program-related data for reporting purposes
  • Generate regular reports and dashboards to track program metrics and outcomes
  • Provide monthly updates to organizational partners
  • Assist in developing marketing and program materials
  • Manage contracts, invoices, and day-to-day relationships with Lead Belay’s contractors
  • Assist with preparing, tracking, and following up on customer invoices
  • Collaborate with our Instructional Design lead to onboard and train facilitators

Skills you need 

  • Fierce attention to detail and desire to understand the big picture
  • Excellent written and verbal communication skills
  • A growth mindset: ability and desire to learn new things and navigate complex ecosystems with a curiosity and investigative disposition
  • Strong organizational skills with the ability to prioritize tasks and manage multiple concurrent streams of work
  • Experience working on a close knit, whip smart, and productive team (preferably in learning and development or software production)
  • Tech savvy, especially with Google workspace, Zoom, Slack, or equivalents
